Terms and Conditions

1. General Information

1.1. These terms and conditions govern the booking and stay at Montana Conservation Camp ("Camp")

1.2. By making a booking, the guest ("Guest") agrees to comply with these terms and conditions.

2. Reservations and Payment

2.1. All rates are quoted in Philippine Peso and include applicable taxes unless stated otherwise.

2.2. Payment Window: To secure your stay, full payment is required within 48 hours of booking.

2.3. Last-Minute Bookings: For reservations made within 48 hours of arrival, payment must be completed by 11:59 PM on the day prior to check-in.

2.4. All reservations remain "pencil-booked" until staff has verified the payment. Unpaid reservations are automatically cancelled after the 48-hour window (or the 11:59 PM deadline for last-minute bookings).

2.5. The proof of payment must be sent via email at hello@montanaconservationcamp.com to confirm the guest's reservation.

3. Check-in and Check-out Policies

3.1. Standard Times: 

  • Villas/Glamping: Check-in starts at 3:00 PM.

  • Campers: Check-in starts as early as 8:00 AM.

  • Check-out: All guests must check out by 12:00 NN.

3.2. Late Arrival: Guests must notify the team if arriving after 8:00 PM. Without notice, the Camp reserves the right to release the room and tag the reservation as a "No-Show."

3.3. Incidental Deposit: A cash deposit of ₱2,000.00 is required upon check-in for Glamping and Villa guests. This is fully refundable upon check-out, subject to a successful damage inspection.

3.4. A valid photo ID must be presented at check-in.

4. Cancellation and Rebooking Policies

4.1. Standard Cancellation: Notification must be sent via email at least 7 days prior to the arrival date for a full refund.

4.2. Late Cancellation: Cancellations made 6 days or less prior to arrival are non-refundable. The full reservation amount will be charged.

4.3. Rebooking & Modifications:

  • Changes to dates, room types, or booking details are permitted only if requested 7 days or more before your arrival (subject to availability and rate differences).

  • Rebooking or rescheduling is strictly not allowed 6 days or less prior to your arrival. Within this window, the reservation is considered final.

4.4. No-Show Policy: Guests must notify the team if arriving after 8:00 PM. Without notice, the Camp reserves the right to release the room and tag the reservation as a "No-Show." The reservation will be cancelled without a refund.

4.5. Refunds: Eligible refunds are processed within 5 working days of approval.

 

5. Nature & Environment (Know Before You Go)

5.1. Location: The camp is in a secluded mountain area. Guests are advised to bring personal medicines and power banks.

5.2. Guests acknowledge that the camp is part of a natural ecosystem where "niknik" (sand flies) are common. The Camp is not liable for bites; guests are strongly encouraged to bring and use insect repellent.

5.3. To preserve serenity, the use of microphones, loud speakers, and karaoke equipment is strictly prohibited at all times.

6. Guest Responsibilities

6.1. Guests are expected to behave in a respectful manner and comply with all Camp policies.

6.2. The Camp reserves the right to refuse service or evict any Guest who does not comply with these terms or engages in inappropriate behavior.

6.3. Guests are responsible for any damage caused to Camp property.

7. Liability

7.1. The Camp is not responsible for loss, theft, or damage to personal belongings.

7.2. The Camp's liability for any damages or losses is limited to the amount paid by the Guest for the booking.

7.3. The Camp is not liable for any injuries or illnesses resulting from insect or animal bites.

8. Privacy Policy

8.1. The Camp respects the privacy of its Guests and handles personal information in accordance with applicable laws.

8.2. Personal information collected during the booking process will be used for reservation purposes and to enhance the Guest's stay.

9. Force Majeure

9.1. The Camp shall not be liable for any failure or delay in providing services due to circumstances beyond its control, including but not limited to natural disasters, strikes, or governmental actions.

9.2 In the event of natural disasters or government-mandated actions, cancellation and rebooking policies may be adjusted on a case-by-case basis.

10. Governing Law

10.1. These terms and conditions are governed by the laws of the Philippines.

10.2. Any disputes arising from these terms shall be resolved in the courts of Palayan City, Nueva Ecija.

11. Amendments

11.1. The Camp reserves the right to amend these terms and conditions at any time without prior notice.

11.2. The current terms and conditions will be available on the Camp's website.

 

By proceeding with the booking, Guests acknowledge that they have read, understood, and agree to these terms and conditions.
